Description

We seek a full-time Program Assistant to support the daily operations of the Liberal Arts and Social Sciences (LASS) division. Reporting to the division Coordinator, the Program Assistant provides comprehensive administrative and operational support to faculty and staff, helping to ensure efficient division processes and a high level of service to students and campus partners. LASS is a large academic division, offering a broad range of courses in approximately 20 areas of study.

General responsibilities include, but are not limited to:
  • Provide general administrative support to division personnel:
    • Assist with management of Dean and Associate Dean calendars (schedule student and faculty meetings, out-of-office notification, etc.).
    • File, copy, distribute mail, scan documents, record and distribute meeting agendas and minutes, etc.
    • Provide technical support by requesting repair and maintenance as necessary.
  • Serve as the first point of contact for students on program-related information, answering questions regarding course offerings and scheduling.
  • Coordinate student course evaluations for each session, including preparation, distribution, storage, and reporting.
  • Maintain and order office supplies. Prepare purchase requisitions using PeopleSoft Financials and other College systems.
  • Collaborate with student organizations, facility scheduling, and external vendors to plan and facilitate internal and outreach opportunities that complement academic programs.
  • Assist with the acquisition and preparation of materials for instruction each semester.
  • Utilize Business Intelligence and PeopleSoft systems to generate various reports and lists for the division, including enrollment reports, class rosters, etc.
  • Handle and protect confidential personal data according to externally mandated rules and regulations, and institutional practices. This includes collecting and archiving final grades in a timely manner and maintaining efficient electronic and physical filing systems.
  • Update and maintain division webpages.

Requirements

  1. Associate degree or appropriate experience/education
  2. Keyboarding competency
  3. Proficiency with Microsoft Office applications, such as Word, Excel, Outlook, and SharePoint/Microsoft Teams
  4. Excellent written, verbal, and interpersonal communication skills
  5. Ability to work inclusively within a diverse campus community with students, staff, and the public
  6. Strong organizational, time management and multitasking skills; attention to detail; proofreading skills; and ability to problem-solve, work independently, and function professionally under pressure

Desired Qualifications

  1. Work experience in a professional office or academic environment
  2. Strong customer service background
  3. Experience maintaining webpages
  4. Experience with PeopleSoft applications
  5. Ability to take initiative

EMPLOYEE LEAVE
Vacation: 20 days (160 hours) per year with a maximum annual carry-over of 40 days (320 hours); Accrual of 6.16 hours will be granted on the last day of each pay period

Sick Leave: 12 days (96 hours) per year with unlimited annual carry-over; 12 days (96 hours) granted on start date; Beginning on the first anniversary, accrual of 3.70 hours will be granted on the last day of each pay period.

Volunteer Leave: 1 day (8 hours) per year with no annual carry-over;
8 hours granted on start date, then annually granted on January 1

Special Leave: Available by approval for bereavement, emergencies, and legal requirements

Parental Leave: 4 weeks for qualifying events, once per 12-month rolling period

Holidays: 12 designated paid holidays, plus 3 paid Floating Holidays (24 hours); Floating Holidays granted on start date, then annually granted on the anniversary date. HCC is closed from Christmas Eve Day through New Year’s Day generally resulting in additional paid days

Savings Plan: SURS Deferred Compensation Plan (DCP) 457(b) – automatic enrollment with 3% pre-tax payroll deduction. Ability to opt out within 30 days of hire

Summer Service Hours: Most College operations close on Fridays at noon, typically beginning the Friday following June 1st and concluding on August 1st; Full-time employees will work a 36-hour work week while receiving pay for 40 hours
