We are seeking a detail-oriented Grants Accountant to join our team and support the College’s grants management efforts. In this role, you will work under the supervision of the Grants Director to track transactions for compliance, prepare financial reports and payment requests, and provide guidance and support to principal investigators (PIs). The Grants Accountant will also play a key role in the College’s annual financial audit, ensuring accuracy and accountability in all grant-related financial activities.
General responsibilities include, but are not limited to:- Maintain individual grant budget spreadsheets and provide frequent updates to PIs regarding grant expenditures, compliance, and spend-down rates.
- Reconcile grant budget spreadsheets with the general ledger at least quarterly. Apply analysis and problem-solving skills to address discrepancies and ensure grant compliance with federal, state, local, sponsor, and College regulations.
- Enter requisitions and vouchers for tuition waivers, student stipends, and other grant transactions. Execute journal entries to correct transactions as needed.
- With support from the Grants Director, manage grant reporting processes. This includes grant reconciliation with the general ledger, preparation of reports in accordance with federal, state, and grantor regulations and expectations, securing signatures of authorized representatives, and accurate, on-time submission.
- In cooperation with the Business Office, track payments received and ensure funds are accurately credited to grant accounts in a timely fashion.
- Serve as the primary point of contact for grant PIs for budget management and financial compliance. Function as the liaison between PIs and the Business Office.
- Assist the Grants Director and/or Grants Analyst in the development of budgets for grant proposals.
- Assist the Grants Director and/or Controller with external audits, preparation of the Single Audit(s), Consolidated Year-End Financial Report (CYEFR), and Schedule of Expenditures of Federal Awards (SEFA), as well as related GATA requirements.
- Maintain a working knowledge of grant, GASB, GAAP, and GATA regulations related to items such as internal control requirements, acceptable expenditure types, and financial reporting.
- Handle sensitive personal data in accordance with institutional policy and external mandates. Participate in regular training on institutional information security policies.
Requirements

- Associate degree.
- One year of accounting, financial reporting, grants management, or related experience.
- Advanced knowledge of Microsoft Excel including the use of Tables, Functions, Data Validation, and Pivot Tables.
- Excellent written, verbal, and interpersonal communication skills.
- Demonstrated ability to interact effectively in a diverse community and with external agencies.
- Strong organizational skills, attention to detail, and ability to solve problems, use professional judgment, work independently, maintain confidentiality, and function professionally under pressure.
Desired Qualifications

- Associate degree in accounting, business, finance, business administration or related field.
- Experience working with highly regulated federal, state, and/or private grant programs.
- Accounting experience in higher education.
- PeopleSoft Financials experience.
- Knowledge of Code of Federal Regulations, Title 2 (2 CFR); Generally Accepted Accounting Principles (GAAP), Government Accounting Standards Board (GASB), and the Illinois Grant Accountability and Transparency Act (GATA).

EMPLOYEE LEAVE
Vacation: 20 days (160 hours) per year with a maximum annual carry-over of 40 days (320 hours); Accrual of 6.16 hours will be granted on the last day of each pay period
Sick Leave: 12 days (96 hours) per year with unlimited annual carry-over; 12 days (96 hours) granted on start date; Beginning on the first anniversary, accrual of 3.70 hours will be granted on the last day of each pay period.Volunteer Leave: 1 day (8 hours) per year with no annual carry-over;

Holidays: 12 designated paid holidays, plus 3 paid Floating Holidays (24 hours); Floating Holidays granted on start date, then annually granted on the anniversary date. HCC is closed from Christmas Eve Day through New Year’s Day generally resulting in additional paid days
