We seek applicants for a part-time Administrative Assistant and full-time Program Assistant to support operations of the College's Continuing Education (CE) division. Part-time Administrative Assistant
General Responsibilities include but are not limited to:
  • Conduct daily room checks, reporting issues with technology needs and ensuring instructors have necessary materials by making copies, etc.
  • Coordinate processes for CE instructor packets and other class supplies/materials; ensuring timely delivery
  • Greet and direct students; assist with scheduling greeters for on-campus Kids at Heartland summer camps
  • Support customized training process, including setting up contracts, invoicing clients, and periodic reporting
  • Support CE course booklet development
  • Assist with meetings, workshops, and special events, including coordinating food and catering arrangements
  • Cross-train for and provide back-up support for other roles within CE
Requirements
  • Associate degree or appropriate experience/education
  • Keyboarding competency
  • Familiarity with Microsoft Office applications
  • Excellent verbal, written, and interpersonal communication skills
  • Strong organizational skills, attention to detail, ability to work well both independently and as part of a team, and function professionally under pressure
  • Ability to interact effectively with a variety of employees, students and public, including individuals of diverse ages, cultures, and socio-economic backgrounds

Desired Qualifications
  • Work experience in a professional office and/or customer service environment
  • Familiarity with community college environment

Work schedule: Monday - Friday, 12pm - 5pm.
Anticipated starting pay rate: $18.64/hour.

Full-time Program Assistant

General Responsibilities include but are not limited to:
  • Support Dean and other administrators related to PeopleSoft Financials, budget tracking, and reporting
  • Process requisitions and vouchers for division purchases; proactively update stakeholders on status of orders
  • Manage the master schedule for all CE courses
  • Maintain class calendar on HCC main webpage and CE webpage
  • Update campus digital displays with current CE class or special event information
  • Manage a centralized CE department calendar for internal use with shared visibility to the CE team
  • Provide general support to division personnel including keyboarding, filing, maintaining records, copying, sorting, and distributing mail
  • Support CE staff by managing membership, registrations, travel, catering requests, and other administrative tasks
  • Assist with meetings, workshops, and special events, including coordination of food and catering arrangements
  • Reconcile Business Office expense records to actual and track against budget
  • Assist Dean and other CE Directors with proofreading and editing materials as well as creating materials using Canva

Requirements
  • Associate degree or appropriate experience/education
  • Keyboarding competency
  • Familiarity with Microsoft Office applications, including Word, Outlook, and Excel.

***** FULL-TIME POSITION *****

Vacation: 20 days (160 hours) per year with a maximum annual carry-over of 40 days (320 hours); Accrual of 6.16 hours will be granted on the last day of each pay period

Sick Leave: 12 days (96 hours) per year with unlimited annual carry-over; 12 days (96 hours) granted on start date; Beginning on the first anniversary, accrual of 3.70 hours will be granted on the last day of each pay period.

Volunteer Leave: 1 day (8 hours) per year with no annual carry-over;
8 hours granted on start date, then annually granted on January 1

Special Leave: Available by approval for bereavement, emergencies, and legal requirements

Parental Leave: 4 weeks for qualifying events, once per 12-month rolling period

Holidays: 12 designated paid holidays, plus 3 paid Floating Holidays (24 hours); Floating Holidays granted on start date, then annually granted on the anniversary date. HCC is closed from Christmas Eve Day through New Year’s Day generally resulting in additional paid days
