Job Title: Assistant Property Manager – Brickyard Apartments

Reports To: Property Manager

Supervises: Leasing and Maintenance

General Summary:

Under general supervision of the Property Manager, the Assistant Property Manager performs variety of administrative duties to support the property manager as applicable. The responsibilities include resident contact, responding to leasing qualification questions, maintaining resident files and answering resident inquiries via telephone or personal inquiries. The incumbent is also responsible for collection of rents due and makes referrals to collection agency as required. Participates in conducting annual and move-out inspections. In addition, the incumbent will file, prepare reports, and type correspondences as needed.

Essential Functions:

  • Assists the Property Manager with leasing functions as needed including move-ins and move-outs.
  • Works closely with the Property Manager in planning and developing goals and objectives for the property.
  • Conducts inspections as required.
  • Prepares paperwork for eviction proceedings.
  • Assists with rent collection and other charges as necessary.
  • Assists in planning to maximize occupancy of the property units; show vacant apartments and sells perspective residents on the desirability of the unit and development.
  • Assist with initial move-in of new residents which includes lease preparation and signing, apartment inspection, processing of all required records; performing quality leasing interviews, emphasizing lease obligations, neighborhood services, and resident participation opportunities.
  • Executes dwelling leases for approved residents, transfers residents and directs the vacating of dwelling units as necessary.
  • Counsels all delinquent residents in an attempt to secure overdue rents before automatic eviction procedures begin.
  • Fully explains the property policies as required.
  • Oversees the required documents for lease renewals.
  • Ensures that the property ’s policies and procedures are being observed in the day-to-day activities of the resident selection and property management functions.
  • Oversees the waiting list.
  • Attends training as requested by the Property Manager.
  • Turns collection files over to the attorney and follows up to ensure collection action is on-going.
  • Assess all damages and charges and schedule major replacement items with contractors.
  • Coordinates service with the contractor for scheduled extermination of units and follows up on any problems and refers major issues to the property manager.
  • Represents the property in legal actions when residents have court cases or mediation issues as required.
  • Assist with regular and special apartment inspections as necessary; generates work orders and resident charges as required; enforces lease requirements concerning resident housekeeping and modifications to the property.
  • Inspects grounds regularly; enforces lease requirements on yard care, trash disposal and junk cars.
  • Processes all move-out paperwork including security deposit interest calculations as required.
  • Performs office work necessary to maintain the required records on each resident.
  • Performs report preparation, file maintenance, and documentation, and posts required notices.
  • Performs accounting and computer documentation preparation; writes correspondence as necessary.
  • Assembles and maintains resident files.
  • Performs other related tasks as required.
  • Train, direct, and supervise on-site Associates in all computer functions. Responsible for validation of all input and reporting requirements.
  • Ensure that all physical aspects of the property are at all times fully functional, safe, attractive, and that all vacant apartments are kept ready for occupancy through all team members and personal efforts. Visually inspect grounds, buildings, and apartment units on a regular basis.

Specific Job Knowledge, Skills and Ability:

  • Knowledge of the general operations and procedures of property management.
  • Knowledge of the local, state, and federal laws governing rental housing including health and fire regulations, landlord/resident regulations, leasing of property, and evictions.
  • Knowledge of housing and operations at the federal, state, and local levels in both the private sectors.
  • Knowledge of report preparation techniques and procedures, and a demonstrated ability to prepare and evaluate professional and technical reports and other documents.
  • Knowledge of modern office equipment including copiers, personal computers, calculators, facsimile machines, etc.
  • Ability to understand, acts on, and interprets policies, regulations, and procedures as set forth by the property.
  • Ability to establish and maintain effective working relationships with co-workers, vendors, consultants, contractors, residents and local, state, and federal officials; ability to communicate with people from a broad range of socio-economic backgrounds.

Qualification Standards

Communication:

  • Strong communication skills are needed.
  • Ability to convey information and ideas.
  • Ability to deal effectively with vastly diverse groups of people

Education and Experience:

Any combination of education and experience equivalent provides the required knowledge, skills, and abilities.

Preferred: At least 1 year of property management or leasing experience. Management, Sales, or other work in the Property Management Industry.

License or Certificate:

Valid Driver’s License

Grooming:

All employees must maintain a neat, clean and well-groomed appearance, including hair color.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer and standing and walking, giving tours, and meeting with potential tenants.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to traverse a variety of properties with stairs and in a variety of weather.
  • Must be able to work weekends and/or evenings on a rotating schedule.
  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard
  • Ability to see within normal parameters
  • Ability to hear within normal range
  • Ability to see within normal parameters
