Job Title: Accounting Clerk

Location: Tentac Enterprises

Reports To: VP of Finance

General Summary:

This position is responsible for performing a variety of tasks including data entry, filing basic bookkeeping duties to support the day-to-day operations of a multi-company Accounting Department.

Essential Functions:

  • Record Maintenance:
    • Ensure all accounting data is properly recorded and organized for audit purposes.
    • File, sort and organize records to allow for efficient retrieval.
  • Accounts Payable:
    • Process and track payments to vendors and suppliers including accurate entry into QuickBooks.
    • Reconcile outstanding invoices and payment discrepancies.
    • Set up new vendors in the accounting software and maintain records for active vendors including W-9s and Certificates of Insurance as needed.
  • Bank Reconciliations:
    • Reconcile bank statements and company accounts to ensure accuracy.
    • Investigate and resolve discrepancies between accounting records and bank statements.
  • Financial Reporting Support:
    • Maintain and update supplemental records in spreadsheets, as needed.
    • Provide assistance as needed in the preparation of monthly financial statements.
  • Other:
  • Communicate with property managers/other team members/vendors via phone, email, mail to address accounts payable inquiries and provide excellent customer service.

Specific Job Knowledge, Skills and Ability:

    • Strong attention to detail and organizational skills.
    • Proficiency in accounting software (QuickBooks, Microsoft Excel).
    • Good understanding of accounting principles and practices.
    • Ability to manage time effectively and handle multiple tasks.
    • Strong written and verbal communication skills.
    • Ability to work independently and as part of a team.

Qualification Standards

Communication: Strong communication skills, both written and oral, are required. An ability to deal effectively with vastly diverse groups of people and guests is essential

Education: Any equivalent combination of education, training and experience which provides the required knowledge and abilities.

Preferred: Degree in accounting or a related field.

Computer Skills: Operate and utilize company equipment including: company cell phone, company computer to access e-mail and research prospects and clients, electronic calendars, and other basic office support software

Experience: Previous experience in accounting or clerical roles preferred, but entry-level candidates may also be considered.

Appearance:

All employees must maintain a neat, clean and well-groomed appearance including hair color.

Physical Requirements

  • Ability to sit for extended periods up to 6 to 8 hours a day.
  • Ability to occasionally stand, walk, or move around the office to perform tasks or attend meetings.
  • Ability to frequently use hands and fingers to operate computers, phones and other office equipment
  • Ability to occasionally reach for files, supplies or miscellaneous office materials as needed.
  • Ability to lift and carry light objects up to 15 lbs. as needed.
  • Ability to hear and speak clearly to communicate in person and over the phone.
  • Must be able to read printed and electronic documents.
