Description
SUMMARY
Under the direction of the marketing communications director, the marketing administrative assistant performs a variety of administrative and detail-oriented tasks related to the requests for proposal (RFP) program and the marketing and communications functions of the organization.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to accomplish each essential function satisfactorily.
- Support Pinnacle’s RFP Program
- Support operation of Pinnacle’s RFP program
- Track and monitor RFP feeds in collaboration with the RFP Program Team
- Assist with reviewing RFPs, scheduling kick-off calls, attending pre-proposal conferences, monitoring deadlines, flagging and adhering to RFP compliance requirements, and conducting other RFP-related administration
- Collaborate with RFP Program Team during proposal production, submit final proposals, track proposal selections, conduct debriefs and prepare interview materials
- Prepare or aid in the preparation of RFP-related reports as necessary
- Support Operations of the Marketing and Communications KMAs
- Assist with project tracking, budget support and administration
- Create, edit and maintain project plans at the request and direction of the director and the communications and brand manager
- Monitor Key Management Area (KMA) email inboxes
- Schedule meetings, and support the maintenance of internal events calendar
- Assist with the production of other marketing- and communications-related reports
- Monitor marketing- and communications-related internal requests from throughout the organization
- Assist with internal communications and industry events as needed (scheduling and other logistics)
- Enter time and expenses accurately and timely
- Handle and process confidential information with complete discretion
- File projects and materials according to Pinnacle's internal filing system
- Adhere to regular, predictable and punctual attendance

- Excellent verbal and written communication skills
- Ability to prioritize and execute multiple tasks with competing deadlines
- Ability to work effectively with multiple individuals to support simultaneous projects
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
- Ability to work independently
EDUCATION AND EXPERIENCE
- Minimum of a high school diploma or GED
- Minimum three years of experience in an administrative staff role
SUPERVISORY RESPONSIBILITIES
The position does not have supervisory responsibilities.
